Recently, I was informed about a client who wished to begin dealing with their vendors (ie. us) soley using EDI. The owner tells me that the customer, who is a regular wholesale client, wishes to place their orders electronically as part of the change in methodology...

Now I have known for years that Atrex was designed to be hooked up with a website and be assist in providing information for the postings and help produce a commercial, retail site via an add-on (if i recall correctly). However, this instance would most likely cause us to have a direct connection via an EDI services provider, I think....

Not to contradict Terry and it depends upon how you define EDI.

There are three necessary components:

Customer generates a file using your stock code and the ordered quantity.
File is transmitted from customer to you.
You load the file.

If your customer can generate a file with your stock codes from his PO, he can email you that file, and you can use the "Load from file" function in an order. This is EDI and I have clients using this method. It achieves the end result easily and without cost.

Automating the process may be desirable and it need not be a major endeavour.

To transmit the file, this can be accomplished using an FTP application as many of these applications have a "watch folder" option so that as your customer generates the file, it is transmitted to your system. This is the methodology many EDI services employ. Rather than FTP, emailing of the file is possible with a similar "watch folder" option.

If you are using FTP to transmit the file, it is possible to create a custom Atrex server job that loads the order into Atrex. Whether or not you want to take this step would depend upon the volume of orders you are receiving.

This would work fine, but when I tested it, the stock code, manufacturer, model and quantity were transferred. It put the model (which we use for EDP numbers) and put it in as the selling price (163011 to $1,630.11) How can we just transfer the stock code and quantity?

The "Load from file" function for orders accepts three fields: stock code, quantity, and price. You must ensure that only two fields exist in your file or if you have numeric values in the third field, it will be loaded as the price.

I am guessing that simply runnig a Batch Process with the Repair option flagged isn't going to cut it, will it?

I am running Atrex 11.10 In running the batch processing I ran into an error code #9732 A Value must be provided for the field number in the table invitem. I beleve the problem was caused because of a server problem that has been fixed. But how can I repair this error?

I've sent you instructions on how to clean this up via private email.

Zen Cart 1.5 Utility

We currently use your Zencart Utility for Zen Cart 1.3 with Atrex, but with 1.5 being the latest and most secure version of ZC, we were wondering if it is compatible with the utility. If not, do you have a roadmap for updating it to be compatible with 1.5? Thanks!

It is possible that the issue is with an index so trying a repair may do the job and it will not hurt.

Assuming that the repair does not resolve the issue, there are a two options. First, if you are not using cash drawer sessions or do not mind losing that history, you can delete the four files ddetail.dat/idx and dsession.dat/idx the batch process. Second, you can provide us with a copy of the data and we can attempt a repair which is a chargeable service. If you are wanting us to repair the data, please email me directly.

From our initial testing, the current version of the utility, 3.2.0.1, is compatible with Zen Cart 1.5. While there is not any difference from 1.3 to 1.5 that would affect the utility's functioning, official support will be part of the Atrex 14 release.

Service Order Date In Adjustment

Recently, I recommended Atrex to a client who performs a lot of service work in a shop environment. As soon I they got set up with an evaluation, the questions naturally started pouring in!

One big thing they noticed was the fact that the software leaves the user the ability to quickly edit the Due date of an entered Service Order. However, there are many days when they are inundated during a season and don't get all of the dropped off equipment entered by the end of a given day. This leaves them in a bit of confusion because thy would like to list their jobs by the date they arrived and there seems to be no easy way to set the date an item arrived.

Is there currently a way provided or even a planned accessible field for adjusting the Date In for an item arriving for service?

Right click on the list of jobs. There is an entry in the popup menu that allows for changing the date in for the SO.

Service Order Report

Hi Dave,

Using Atrex 12 I notice I have outstanding RMA's yet when I do a report and look into the RMA's the quantity of the stock and non sotck items add up to the received quantity meaning alls been received back. Yet they are still showning the RMA's as being outstanding. I tried running a Batch procesing but this made no difference. Any idea?

Atrex looks at the In-Stock and Non-Stock RMA quantities as being separate. So if you send back 1 from your in-stock quantity and receive 1 back into your non-stock quantity, the total quantity balances. But when it checks to see if the RMA item is still open it looks at both In-Stock shipped less In-Stock Received and

Non-Stock shipped less Non-Stock Received separately and if either of the shipped quantities are greater than the received, it keeps the RMA open. So somewhere along the way, someone received in-stock quantity back in as non-stock or the other way around. Edit those items in the RMA receiving and set them correctly and the RMA will close itself out.

I believe the service overview report is what you are looking for.  If you 
did have a report that did this for a single SO in an older version, it must 
have been a custom report as we've never had that as part of the standard 
package.

Inventory Value

"Reports - Inventory - Stock by Code".   Total inventory cost is calculated 
at the end of that report.

Shop Supplies as Percentage of Service Job

In testing Atrex for use at a power outdoor equipment business, the topic came up that shop supplies might wish to be billed as a percentage of larger jobs in order to better reflect the amount of items that go into them. However, it just doesn't seem to be intuitive enough as to how an item might be set to do that.... (I am guessing that it is more than a stock code item).

Any breadcrumbs and advice?
